What is a logistics label and what information should it contain?

Although often mistaken for a simple shipping label, its role is much broader. In addition to address data, it also contains encoded information about the contents, origin, shipping route, and required transport conditions.

According to the international GS1 standard, a logistics label is a marking that includes a unique Serial Shipping Container Code (SSCC) and other data recorded in human-readable form and barcodes, enabling automatic identification and streamlining cooperation between systems of different companies.

What information should a logistics label contain?

For a logistics label to fulfill its function, it must comply with applicable standards and be legible for both people and automatic data processing systems. It is worth remembering the principle of data minimization, especially in the context of GDPR regulations. The information on the label should be limited to what is actually needed at the delivery stage. In practice, it should contain:

• Sender and recipient data - name (or company name), delivery address, and, if justified, a contact phone number. If possible, it is worth avoiding redundant data, such as an e-mail address, unless required by the logistics operator.
• Content description - number of packages, weight, type of goods, batch designation, or order number. This data is helpful during goods receipt and further distribution.
• SSCC (Serial Shipping Container Code) - a unique identifier for the logistics unit recorded in barcode form, compliant with the GS1 standard.
• Barcodes or QR codes - facilitate automatic scanning and identification of the shipment at various stages of transport.
• Special markings - e.g., "fragile", "do not drop", "this way up", which indicate requirements for handling the goods.

Why should you use standard-compliant labels?

In many cases, especially when cooperating with large transport companies, using labels that comply with GS1 guidelines is simply required. In others, it is good practice that streamlines work and reduces the risk of errors. Standardized data is easier to read, and the process of picking, shipping, and delivery itself is more efficient.
